Smart Folders on Mac: what they can and can't sort
A Smart Folder is a saved Spotlight search: it lists files by rule and moves nothing. How to create one, six worth keeping, and the traps to know about.
A Smart Folder is a saved Spotlight search that looks like a folder. It lists every file that matches its rules, wherever the file is, and updates as files change. It never moves, copies or renames anything. To make one, choose File > New Smart Folder (⌥⌘N) in Finder, click +, set a rule, and click Save.
Create a Smart Folder
- In Finder, choose File > New Smart Folder (⌥⌘N).
- Pick where to search at the top: This Mac, or the folder you were in (open that folder first, then press ⌘F).
- Click + next to Save and set a rule: Kind is PDF, Last opened date is within last 30 days, Name contains invoice.
- Add more rules with +. All of them must match. For “any of” rules, hold ⌥: the + turns into … and adds a group set to Any, All or None.
- Click Save, give it a name, and keep Add To Sidebar ticked.
The rule menu shows a short list. Choose Other… at the bottom for about a hundred more attributes: File size, Tags, Where from (the website a download came from), Pixel height, Duration. Tick In Menu next to the ones you use often.
To change the rules later, open the Smart Folder, click the … (Action) button in the toolbar and choose Show Search Criteria.

“Big files” and “Installers” are the two that free the most space: open them once a month and move what you don’t need to the Trash.
What Smart Folders can’t do
- They don’t move files. A Smart Folder called “Invoices” lists your invoices; the files stay in Downloads, on the Desktop, or wherever they were. Your Downloads folder is exactly as messy as before.
- They only see what Spotlight sees. Folders excluded in System Settings > Spotlight, some external drives and network shares don’t show up.
- Deleting from them is real. Moving a file to the Trash from a Smart Folder trashes the actual file.
- They are local. The saved search is a
.savedSearchfile in~/Library/Saved Searches. It does not sync to your other Macs through iCloud unless you move the file there yourself.
Smart Folders are the right tool when you want to find files by type or date without deciding where they live. When you want the files themselves to move, you need an automation.
Smart Folders plus an automation
A useful pair: a Smart Folder shows the problem, and an automation fixes it.
- macOS 26 Tahoe: in Shortcuts, open Automation, click + and choose the Folder trigger on Downloads. Filter the added files (for example, extension is
pdf) and add Move File to a Documents folder. The “Recent PDFs” Smart Folder then shows them in their new place. - Older versions: Automator’s Folder Action with Filter Finder Items and Move Finder Items does the same.
Each rule is built and tested by hand, and a shortcut that moves files has no undo. Start with one file type and check the result for a week.
Smart Folders elsewhere on the Mac
Other apps have the same idea under other names: Smart Folders in Notes, Smart Mailboxes in Mail, Smart Playlists in Music, Smart Albums in Photos. Each one is a saved filter with rules made for that app, and none of them moves anything.

What is the difference between a folder and a Smart Folder on Mac?
A folder holds files. A Smart Folder holds nothing: it is a saved search that lists every file matching its rules, wherever the files are stored. A file can appear in several Smart Folders at once and still live in one real folder.
How do I create a Smart Folder on a Mac?

Does deleting a file from a Smart Folder delete the real file?

Why is a file missing from my Smart Folder?
Smart Folders use Spotlight. A file in a location excluded from Spotlight (System Settings > Spotlight > Search Privacy), on a drive Spotlight has not indexed, or inside a package does not appear.
